Privacy Policy

Effective Date: June 20, 2026. This policy describes how IIFA Placement handles information when users connect their Gmail accounts to our platform.

This Privacy Policy describes how IIFA Placement (“Company”, “we”, “our”, or “us”) collects, accesses, processes, and handles information when users connect their Gmail accounts to our platform. By using our services, users acknowledge and agree to the practices described in this Privacy Policy.

Gmail Integration & Access

Our service is designed to assist users in identifying, extracting, and processing resumes, CVs, cover letters, and related recruitment documents received through authorized Gmail accounts.

Access to Gmail data is limited solely to the functionality required for the operation of the service. We do not access, review, use, or process information beyond what is reasonably necessary to provide the requested functionality.

No Commercial Exploitation of Data

The Company does not sell, rent, lease, license, transfer, distribute, disclose, monetize, or otherwise commercially exploit user email content, attachments, personal information, candidate information, extracted data, or any information obtained through Gmail access.

Gmail data is accessed exclusively for the purpose of identifying, extracting, organizing, and presenting recruitment-related information and delivering the services requested by the user.

Data Minimization & Retention

The Company is designed with data minimization principles in mind. Private email content is not permanently stored by us except where temporary processing, caching, security monitoring, fraud prevention, troubleshooting, compliance obligations, technical maintenance, service integrity, or operational requirements make limited retention reasonably necessary.

Any such retention shall be limited to the minimum extent reasonably required for the provision, maintenance, protection, security, and improvement of the service.

Information Processing & Usage

Information extracted from resumes, CVs, and related recruitment documents may be processed and displayed to authorized users for recruitment, candidate management, workflow automation, organizational, or administrative purposes.

Such processing is performed solely on behalf of the user and in accordance with the permissions granted by the user.

Third-Party Providers

The Company may utilize third-party hosting providers, cloud infrastructure providers, data processors, technical contractors, analytics services, and operational service providers in connection with the operation of the platform.

Such entities may process information solely to the extent necessary to provide infrastructure and support services for the platform and are not authorized by the Company to use user data for independent commercial purposes.

Disclaimers & Accuracy

The Company does not represent, warrant, or guarantee the completeness, accuracy, suitability, reliability, authenticity, legality, quality, or correctness of any information extracted, classified, analyzed, summarized, or presented through the service. Users remain solely responsible for reviewing and validating all information before relying upon it for any purpose.

Security Measures & Risks

While commercially reasonable administrative, technical, and organizational safeguards are implemented to protect information from unauthorized access, disclosure, alteration, misuse, or destruction, no software system, network, platform, cloud environment, transmission method, or storage mechanism can be guaranteed to be completely secure.

Users acknowledge and accept the inherent risks associated with internet-based services and electronic communications.

Compliance & User Responsibility

Users remain solely responsible for ensuring that their use of the service complies with all applicable laws, regulations, contractual obligations, employment requirements, privacy laws, data protection requirements, industry standards, and organizational policies.

The Company does not assume responsibility for the content of emails, attachments, resumes, CVs, candidate records, recruitment decisions, hiring outcomes, employment actions, or any actions taken by users based upon information processed through the platform.

Warranties & Limitation of Liability

To the fullest extent permitted by applicable law, the service is provided strictly on an “AS IS”, “AS AVAILABLE”, and “WITH ALL FAULTS” basis. The Company expressly disclaims all warranties, representations, guarantees, conditions, and undertakings of any kind, whether express, implied, statutory, equitable, or otherwise, including but not limited to warranties of merchantability, fitness for a particular purpose, non-infringement, uninterrupted availability, data accuracy, data integrity, reliability, security, or performance.

To the maximum extent permitted by law, IIFA Placement, its affiliates, owners, officers, directors, employees, contractors, representatives, agents, licensors, service providers, successors, and assigns shall not be liable for any direct, indirect, incidental, consequential, special, punitive, exemplary, economic, reputational, regulatory, or other damages, losses, liabilities, penalties, claims, costs, or expenses arising out of or relating to the use of the service, access to Gmail accounts, processing of information, extraction of candidate data, hiring decisions, employment decisions, service interruptions, technical failures, unauthorized access, security incidents, third-party conduct, loss of profits, loss of business opportunities, loss of goodwill, loss of data, or reliance upon information generated or processed through the platform, regardless of the theory of liability and whether or not such damages were foreseeable.

Voluntary Use & Revocation

By connecting a Gmail account and utilizing the service, users expressly acknowledge that they do so voluntarily, at their own discretion, and entirely at their own risk. Users may revoke Gmail access at any time through their Google Account settings or by discontinuing use of the service.

The Company reserves the right to modify, amend, update, supplement, replace, or discontinue this Privacy Policy, in whole or in part, at any time and without prior notice. Continued use of the service following publication of any revised version shall constitute acceptance of the revised Privacy Policy.
